HOWTO Move Voicemail Recordings and Greetings

To move your voicemail greeting recording or voicemail messages from one extension to another:

System shell:

  • Login to the system shell as the root user
  • Execute ‘cd /opt/activeSWITCH/pw/var/spool/asterisk/voicemail/default/$EXTENSION’ (where $EXTENSION is *Extension number e.g. ‘1000’)
  • Execute ‘ls’ to view the busy and unavailable greeting message and the INBOX with voice messages
  • Execute ‘mv *.gsm ../1006’ to move both busy and unavailable greeting messages to Extension 1006

Self Care:

  • Login to Self Care
  • Navigate to ‘Voicemail’
  • Select the box next to a voice message
  • Click the ‘Forward’ button
  • Provide the destination extension number and click the ‘OK’ button

HOWTO Delete Custom Voicemail Greeting Message

To delete the custom voicemail greeting message (Extension 1000 for example):

SELF CARE:

  • Login to Self Care
  • Navigate to ‘Settings: Voicemail’
  • Set ‘Reset Busy Message=’Yes’ or ‘Reset Unavailable Message’=’Yes’ depending on which ‘Greeting message’ is set
  • Click on the ‘Save’ button
  • The system will delete the custom greeting message and revert to a default greeting message in the *English language.

ADMINISTRATION:

  • Login to Administration
  • Navigate to ‘Extensions’
  • Edit Extension 1000
  • Click on ‘Advanced Options’
  • Set ‘Reset Busy Message=’Yes’ or ‘Reset Unavailable Message’=’Yes’ depending on which ‘Greeting message’ is set
  • Click on the ‘Save’ button
  • The system will delete the custom greeting message and revert to a default greeting message in the English language.

HOWTO Attach Voicemail Message To Email

The voice message sound file can be attached to a voice message notification email. This allows you to check your voice inbox from your computer by checking your email address.
To enable attaching of voice messages to notification emails:

  1. Login to the system administration.
  2. Edit your ‘Extension’ .
  3. Under the ‘Voicemail’ group there is an ‘Attach’ option.
  4. Select ‘Yes’ and click ‘Save’ button.

HOWTO Review a Message Before Committing It To Inbox

If you wish to hear your message before sending it permanently to the user voicemail box, set the ‘Allow Review Mode’ to Yes. This will allow you not only to hear the recorded message, but to record it from the start too.

To enable this option:

  1. Login to the system administration.
  2. Edit your ‘Extension’ .
  3. Under the ‘Voicemail’ group there is an ‘Allow Review Mode’ option.
  4. Select ‘Yes’ and click the ‘Save’ button.

HOWTO Voice Message Audio Format

The audio format of the voice message recordings is set in the ‘Format’ field. Once set, all voice messages will be recorded in this format. Be careful when selecting the audio format because some formats, although rich in quality, take a lot of disk space and are slower to transfer by mail.
To set the Voice Message Audio Format:

  1. Login to the system administration.
  2. Navigate to ‘Settings: Voicemail’ .
  3. Under the ‘General Voicemail’ group there is a ‘Format’ option.
  4. Select the desired format (wav49/gsm/wav) and Click the ‘Save’ button.

HOWTO Which Format Is The Best For Voicemail Recordings

wav49 – The file size will be small, the quality good, and it’s a good choice for sending voicemail messages in email (RECOMMENDED).

gsm – Same file size and same audio quality as wav49. It may be less well supported by client operating systems if sent to users in email.

wav – Excellent sound quality but huge file size. Not recommended as an email attachment.


HOWTO Max Length Of Voicemail Greeting

To set the maximum length of user-recordable voicemail, provide time in seconds to the ‘Max Greeting Length’ field.

To set the Maximum Greeting Length:

  1. Login to the system administration.
  2. Navigate to ‘Settings: Voicemail’ .
  3. Under the ‘General Voicemail’ group there is ‘Max Greeting Length’ option.
  4. Enter the value in seconds (e.g. 10) and Click the ‘Save’ button.

HOWTO Max Seconds Of Silence

The maximum silence time is set as a timeout that hangs up voice recording if nothing is said for a specified period of time.

To set the Maximum Silence Time:

  1. Login to the system administration.
  2. Navigate to ‘Settings: Voicemail’ .
  3. Under the ‘General Voicemail’ group there is a ‘Max Seconds of Silence’ option.
  4. Enter the value in seconds (e.g. 3) and Click the ‘Save’ button.

HOWTO Silence Threshold

The silence threshold is used to determine what silence is. The lower the threshold, the more sensitive it is.
To set the Silence Threshold:

  1. Login to the system administration.
  2. Navigate to ‘Settings: Voicemail’ .
  3. Under the ‘General Voicemail’ group there is a ‘Silence Threshold’ option.
  4. Enter a value in seconds (e.g. 128) and click on the ‘Save’ button.

HOWTO Maximum Login Attempts

The maximum login attempts is useful for protecting the voice inbox against misuse.

To set the maximum number of login attempts:

  1. Login to the system administration.
  2. Navigate to ‘Settings: Voicemail’ .
  3. Under the ‘Main Voicemail Menu’ group there is a ‘Max login attempts’ option.
  4. Enter the maximum number of login attempts (e.g. 3) and click the ‘Save’ button.

HOWTO Send Voicemail

Voice messages can be sent to the other extension voice inbox by pressing 5 from the advanced menu.
To enable the send voicemail option:

  1. Login to the system administration.
  2. Navigate to ‘Settings: Voicemail’ .
  3. Under the ‘Advanced Features’ group there is a ‘Allow Review Mode’ option.
  4. Select ‘Yes’ to enable this option and click the ‘Save’ button.

HOWTO Define Timezone On Global Scale

The date and time that the voice message was sent is played in the Timezone option. The custom format of the user time zone is ‘Country/City|Options’ .

To define your custom timezone:

  1. Login to the system administration.
  2. Navigate to ‘Settings: Voicemail’ .
  3. Under the ‘Advanced Features’ group there is a ‘Timezone’ option.
  4. Enter a timezone (Country/City|Options).
Timezone Options:
  • ‘filename’ filename of a soundfile (single ticks around the filename required)
  • ${VAR} variable substitution
  • A or a Day of week (Saturday, Sunday, …)
  • B or b or h Month name (January, February, …)
  • d or e numeric day of month (first, second, …, thirty-first)
  • Y Year
  • I or i Hour, 12 hour clock
  • H Hour, 24 hour clock (single digit hours preceded by “oh”)
  • k Hour, 24 hour clock (single digit hours NOT preceded by “oh”)
  • M Minute
  • P or p AM or PM
  • Q “today”,”yesterday” or ABdY (*note: not standard strftime value)
  • q “” (for today), “yesterday”, weekday, or ABdY (*note: not standard strftime value)
  • R 24 hour time, including minute

For Example:

 central=America/Chicago|'vm-received' Q 'digits/at' IMP
5. Click on the ‘Save’ button.

HOWTO Transfer a Call To Voicemail

To transfer an active call to a voicemail box, press # and then *125. After this, just dial the extension number and your call will be transferred to that extension voicemail box.

For Example: # *125 1001

Or use the transfer button instead of #:

For Example: (transfer button) * 125 1001

and your call will be transferred to the other user’s voicemail box.


HOWTO Check Voicemail

You can check your voicemail inbox via your phone:

  • Type *123 on your phone to access voicemail.
  • Provide your voicemail password.
  • Type 1 to hear your unread voice messages.

By default, when the voicemail is received, a notification is sent to your email. This email, if not set otherwise, has a voice file attached to it. Detach it from email and open it in your favorite music player.


HOWTO How Much Disk Space Is Used By Voicemail Recording

With continuous tone for 60 seconds:

  • wav49 = 91.0kb
  • wav = 863.0kb
  • gsm = 91.0kb

With continuous silent tone (without sound) for 60 sec:

  • wav49 = 0.38kb
  • wav = 3.0kb
  • gsm. = 0.32k b

HOWTO Server Email

The server email stands for the email address from which voicemail notifications are sent.

To set the Server Email:

  1. Login to the system administration.
  2. Navigate to ‘Settings: Voicemail’ .
  3. Under the ‘E-mail Settings’ group there is a ‘Server Email’ option.
  4. Enter the desired value (e.g. server@domain.com) and Click the ‘Save’ button.

HOWTO How Do I Set ‘From’ String

This setting changes the ‘From:’ line in voicemail notification emails.

To edit the ‘From’ string:

  1. Login to the system administration.
  2. Navigate to ‘Settings: Voicemail’ .
  3. Under the ‘Email Settings’ group there is a ‘”From: ” string’ option.
  4. Enter the custom value and Click on the ‘Save’ button.

HOWTO Play Envelope Messages On Global Scale

The message envelope tells you the date and time that the voice message was left before the voice message is played.

To play the envelope messages:

  1. Login to the system administration.
  2. Navigate to ‘Settings: Voicemail’ .
  3. Under the ‘Main Voicemail Menu’ group there is a ‘Play Envelope Message’ option.
  4. Select ‘Yes’ and click on the ‘Save’ button.

HOWTO ‘Say Caller ID’ Option On Global Scale

‘Say Caller ID’ tells you the extension number from which the voice message was left before playing the voice message.

To set the ‘Say Caller ID’ option do:

  1. Login to the system administration.
  2. Navigate to ‘Settings: Voicemail’ .
  3. Under the ‘Main Voicemail Menu’ group there is a ‘Say Caller ID’ option.
  4. Select ‘Yes’ and click the ‘Save’ button.
